Please read these Terms of Service carefully before enrolling in or using any Playbook Virtual Learning services. These Terms govern the relationship between Playbook Virtual Learning and every family we work with. By enrolling in our programs or using our services, you agree to these Terms in their entirety.
1. Agreement to Terms
These Terms of Service ("Terms") constitute a legally binding agreement between you ("Client," "Parent," "Guardian," or "User") and Playbook Virtual Learning ("Playbook," "we," "our," or "us"), governing your access to and use of our website, playbookvirtual.com, and all educational services provided by Playbook Virtual Learning.
By accessing our website, submitting an intake form, scheduling a consultation, or enrolling in any Playbook program, you acknowledge that you have read, understood, and agree to be bound by these Terms in full.
If you are enrolling on behalf of a minor student, you represent and warrant that you are the student's parent or legal guardian and have the authority to accept these Terms on their behalf.
If you do not agree to these Terms, you must not access or use our website or services.
We reserve the right to modify or update these Terms at any time. Continued use of our services following any changes constitutes acceptance of the revised Terms.
2. Description of Services
Playbook Virtual Learning provides personalized, live, one-on-one virtual academic instruction and educational management services for students in grades K–12.
Our services include, but are not limited to:
Core Academic Instruction
Structured subject-specific tutoring in:
Mathematics
English Language Arts
Science
Social Studies / History
across all K–12 grade levels.
ACT Test Preparation
Comprehensive ACT preparation covering:
English
Mathematics
Reading
Science
including timed practice tests and proven test-taking strategies.
Executive Function Coaching
Targeted support for students who need assistance with:
Planning
Organization
Time management
Academic self-regulation
Study Skills Development
Development of metacognitive strategies and academic habits that promote independent, high-level performance.
Full Homeschool Management
A complete daily academic management system including:
Curriculum delivery
Academic pacing
Documentation
Parent reporting
Academic Recovery Support
Structured intervention programs designed to help students who have fallen behind grade-level expectations.
Delivery of Services
All instruction is delivered live through video conferencing using document-camera technology.
Playbook Virtual Learning does not provide pre-recorded or asynchronous content as a primary service.
3. Eligibility & Enrollment
Our services are available to families with students in grades K–12 throughout the United States and internationally where virtual learning delivery is accessible.
To enroll, a parent or legal guardian must:
Complete the academic intake form accurately and in full
Participate in an initial consultation
Execute a service agreement before instruction begins
Provide current and accurate student, academic, and contact information
Playbook reserves the right to decline enrollment if:
A program is not an appropriate fit for a student's needs
We are unable to adequately support the student's requirements
Operational capacity limitations prevent service delivery
Enrollment becomes active once:
A service agreement has been executed, and
The first instructional session has been scheduled.
4. Fees, Billing & Payment
Program Fees
All service fees are outlined within your individual service agreement.
Fees may vary based on:
Program type
Session frequency
Grade level
Subject specialization
Rates may be quoted per session or as a monthly package.
Payment Terms
Payment is due in advance of each billing cycle as outlined in your service agreement.
Accepted payment methods include:
Credit cards
Debit cards
ACH transfers
Other approved payment methods
Invoices are delivered electronically.
Late Payments
Payments not received within seven (7) days of the due date may result in a temporary suspension of services.
Playbook will make reasonable attempts to contact families before suspending sessions.
Late fees may be applied at our discretion as outlined in your service agreement.
Fee Adjustments
Playbook reserves the right to adjust service fees with a minimum of thirty (30) days' written notice.
Fee adjustments will not affect services that have already been paid for.
Refund Policy
Sessions canceled by Playbook with fewer than twenty-four (24) hours' notice will be credited to your account.
Prepaid sessions are generally non-refundable except:
In the event of program cancellation by Playbook
As otherwise specified within your service agreement
5. Scheduling, Cancellations & Rescheduling
Session Scheduling
Sessions are scheduled in advance based on mutual availability between the instructor and client family.
Session schedules are confirmed in writing and communicated through email or Playbook's scheduling platform.
Client Cancellation Policy
A minimum of twenty-four (24) hours' notice is required to cancel or reschedule a session.
Cancellations with less than twenty-four (24) hours' notice will be charged the full session fee unless a documented emergency exists, including:
Medical emergencies
Family emergencies
Emergency situations are reviewed individually.
Instructor Cancellations
If a Playbook instructor must cancel a session, we will provide as much advance notice as possible.
Canceled sessions will either:
Be rescheduled at no additional cost, or
Be credited to your account
at your preference.
Tardiness Policy
If a student or parent arrives more than fifteen (15) minutes late without notice:
The session may be forfeited
The full session fee may still apply
If an instructor arrives more than fifteen (15) minutes late:
The session will be rescheduled, or
A credit will be issued
Holiday & Break Scheduling
Sessions are not automatically scheduled during major U.S. federal holidays.
Specific holiday scheduling and makeup policies are outlined in your service agreement.
6. Client Responsibilities
To ensure a productive learning environment and maximize educational outcomes, parents, guardians, and students agree to the following responsibilities.
Provide Accurate Information
Provide complete, accurate, and current academic and contact information and promptly communicate significant changes.
Attend Scheduled Sessions
Ensure students are:
Present
Prepared
In a quiet, distraction-free environment
at the scheduled session time.
Technology Requirements
Clients must maintain access to:
Reliable internet service
A functioning computer or tablet
Webcam and microphone capabilities
The designated video conferencing platform (typically Zoom)
Student Engagement
Students should:
Actively participate
Complete assigned practice work
Communicate honestly regarding challenges and learning needs
Respectful Conduct
Families agree to treat Playbook instructors and staff professionally and respectfully.
Abusive, threatening, or inappropriate behavior may result in immediate termination of services.
Timely Communication
Clients should respond to Playbook communications within a reasonable timeframe to support effective service delivery.
7. Instructor Assignment & Changes
Playbook carefully matches students with instructors based on:
Subject expertise
Grade level
Instructional style
Individual learning needs
Instructor Continuity
We prioritize instructor consistency because it promotes academic momentum and stronger student outcomes.
Requested Instructor Changes
Following a minimum of three (3) sessions, parents or guardians may submit a written request for reassignment if concerns regarding instructor fit arise.
Where appropriate, Playbook will facilitate a transition to a better-matched instructor.
Unavoidable Changes
If an instructor becomes unavailable due to:
Illness
Departure
Other unforeseen circumstances
Playbook will assign a qualified replacement as quickly as possible and communicate the transition in advance.
8. Intellectual Property
All website content, instructional materials, graphics, logos, curriculum frameworks, and related materials are the intellectual property of Playbook Virtual Learning and are protected under applicable copyright and trademark laws.

You may not:
Reproduce
Distribute
Republish
Sell
Create derivative works
without prior written permission.
Session Materials
Instructional materials developed by Playbook instructors, including:
Annotated notes
Custom worksheets
Document-camera recordings
Lesson plans
remain the intellectual property of Playbook Virtual Learning.
Families may use these materials solely for the academic benefit of the enrolled student.
Student Work
Academic work created by students remains the student's property.
Playbook may utilize anonymized examples for:
Internal quality review
Program improvement
Staff training
only.
9. Session Recording & Documentation
Session Notes
Playbook instructors maintain structured instructional records documenting:
Lesson content
Student performance observations
Recommended next steps
These records support instructional continuity and progress reporting.
Video Recordings
Playbook may record sessions for:
Quality assurance
Instructional review
Staff training
Families will be notified of recording practices through their service agreement.
Recordings:
Are securely stored
Are not shared with third parties
Are retained for a maximum of ninety (90) days unless otherwise agreed
Parent Access
Parents and guardians may request:
Session notes
Progress reports
at any time.
Formal written reports are generally provided monthly or bi-monthly as specified in the service agreement.
10. Limitation of Liability
To the fullest extent permitted by law, Playbook Virtual Learning, its instructors, staff, affiliates, and representatives shall not be liable for indirect, incidental, special, consequential, or punitive damages arising from the use of our services or website.
This includes, but is not limited to:
Loss of anticipated academic outcomes
Reduced test score improvements
Technical failures
Internet outages
Platform disruptions
Decisions made based on instructor recommendations
Maximum Liability
Our total liability shall not exceed the amount paid by the client during the three (3) months preceding the event giving rise to the claim.
Nothing in these Terms limits liability for:
Gross negligence
Willful misconduct
Liability that cannot legally be limited
11. Disclaimer of Guarantees
Playbook Virtual Learning provides professional academic instruction using high standards of educational quality and commitment.
However, academic outcomes depend upon numerous factors beyond our control, including:
Student effort
Attendance
Family involvement
Existing learning challenges
We do not guarantee:
Specific grade improvements
Specific test score increases
Acceptance into academic programs
Admission to schools or universities
Curriculum completion within a specified timeframe
Academic success requires consistent participation from both students and families.
12. Termination of Services
Termination by Client
Clients may terminate services at any time by providing written notice to:
Termination becomes effective upon receipt of written notice.
Prepaid sessions remain non-refundable except where otherwise stated in the service agreement.
Termination by Playbook
Playbook may terminate services for reasons including:
Non-payment of fees
Abusive or threatening conduct
Repeated missed sessions
Material misrepresentation
Conduct that threatens the safety or well-being of staff or students
Where termination occurs for reasons unrelated to client conduct, Playbook will provide a prorated refund for unused prepaid sessions.
13. Governing Law & Dispute Resolution
These Terms shall be governed and interpreted according to the laws of the United States and, where applicable, the state in which Playbook Virtual Learning is registered.
Informal Resolution
Before initiating formal legal action, both parties agree to attempt good-faith resolution by contacting:
Playbook will respond within ten (10) business days.
Arbitration
If informal resolution is unsuccessful, disputes shall be resolved through binding arbitration administered by a recognized arbitration organization.
Either party may seek court-issued injunctive relief regarding intellectual property violations.
Class Action Waiver
All disputes must be pursued individually.
You waive any right to participate in:
Class actions
Consolidated proceedings
Representative actions
